Position Description:
We are seeking a Planning and Performance Management Specialist to join the Legal Operations Professional of Law Department.

The legal operations professional possessing considerable prior in-house experience managing operational aspects of a large corporate legal department. The candidate will be reporting to the head of Saudi Aramco Law Organization’s Planning & Performance Management function.

Minimum Requirements:
As the successful candidate you will hold a Bachelor’s degree in Business, Engineering or a related discipline from a recognized and approved program. Accounting or Finance experience is preferred. An advanced degree is preferred.

You will have Ten years’ experience in a large law firm, corporation or professional services company.

You must have experience in systems and tools available for matter, document, and vendor management, including e-billing systems.

You must have strong leadership and motivational skills, including the ability to build and manage teams.

You should have ability to influence and leverage relationships within and outside the Law Organizations; excellent communications skills (oral and written); excellent presentations skills;
Excellent analytical skills and comfort with multiple data sets, the ability to draw conclusions and make informed recommendations; Advanced Microsoft Office skills (e.g., Word, Power Point, Excel)

You must be able to present complex information in an accurate and persuasive manner to all levels of management; High level of professionalism and must have a strong client service orientation with demonstrated high level of customer focus, independence and initiative.

Must have experience working with outside counsel / vendors to solicit proposals

Must be a team player who can easily handle shifting priorities, multi-tasking in a deadline oriented environment

Must demonstrated understanding of common alternative fee arrangements (e.g. fixed fees, fee caps, volume discounts, etc.)

Have experience working with large in-house legal team preferred

Advanced knowledge of legal billing software is required.

Duties & Responsibilities:
The Legal Operations Professional will be required to facilitate the operations of Saudi Aramco’s Law Organization in meeting its objectives to be a world-class legal organizations that provides proactive and high quality service. This will include:

Responsible for the Law Organization’s strategic projects and initiatives

Responsible for the maintenance and implementation of the relevant outside counsel policies and procedures; oversee the process for ensuring that outside counsel comply the policies

Provides billing reports and analysis to Law Management to assist with decision making

Oversees the Matter Management and e-Billing system

Optimizes outside counsel spend where appropriate

Negotiates with outside counsel to ensure maximum return on investment

Conducts risk assessments and develops contingency plans to address identified risks

Identifies resource requirements, processes, costs and timelines

Evaluates requests for proposals with outside counsel

Establishes and document all relevant best practices

Proactively identifies trends influencing the organization’s overall legal spend or matter workload

Serves as the Law Organization’s liaison with outside counsel

Coordinates with the Law Organization’s attorneys as to all outside counsel matters

Resolves any billing disputes and discrepancies

Analyzes and track relevant billing data, statistics, and trends

Analyzes status of multiple projects and provides ongoing reports

Manages the organizations-wide outside counsel management initiatives to accomplish the operations objectives; works with attorneys and other stakeholders to design, implement and administer such initiatives, including, development and maintenance of outside counsel policies, the administration of a standardized rate increase request process, the implementation of alternative fee arrangements, performance scorecards, annual outside counsel meetings, and other outside counsel programs

Assists the head of the Planning & Performance Management function in monitoring budget through accurate forecasting of internal and external resources needs

Reports and corrects variances, tracks projects expenses

Develops and implements cost control initiatives. Develops reports with historical analysis

Assists with special projects as assigned.
